Questions and answers

How it works in the call and after it, and what happens to your data.

Start

How do I start taking notes?

Join a Google Meet call. In Automatic, the default, notes start by themselves and the panel says “Taking notes”. In Manual, press “Take meeting notes” in the panel.

Automatic or Manual: which should I use?

Automatic starts the moment you join, with nothing to press, but participants are told only when you press “Notify chat”. Manual waits for you to press “Take meeting notes”, and that button also posts a notice in the Meet chat. Choose in Settings, in the panel or in Workspace. A recording that is already running is not affected.

Is it free? Do I need an account?

It is free, with no account and no email to give. The daily limits apply: 5 summaries and 30 Catch me up a day.

Does it work with a personal Google account?

Yes. Any Google account that can join a Meet call will do, personal Gmail included. No Google Workspace plan or subscription is needed.

Does it work in Zoom or Teams?

No, only in Google Meet, in Chrome.

Which languages does it understand?

Any language Meet’s captions support: 89 languages and regional variants, from English and Spanish to Japanese and Hindi. It picks the language for you, and “Change” at the top of the panel switches it. Meet hears one language at a time, and there is no translation.

I don’t see the panel. Where is it?

It appears on the Meet page only while you are in a call, not on the start page or in the waiting room. If you collapsed it, it is a handle at the right edge: click the handle or the extension icon. On any other page the icon opens Workspace with your saved meetings.

Do I need to turn Meet captions on?

No. The extension reads Meet’s own speech recognition, and you can turn captions on or off for yourself; notes keep going. If the panel says “Meet isn’t sending captions”, press “Turn captions on”.

In the call

A line is missing or the text is wrong. Why?

The text is Meet’s own speech recognition, so mistakes and gaps start there. A line can also be lost for a few seconds after you turn Meet captions off, and nothing is written while notes are stopped. The most common cause is a different spoken language: see the next question.

Notes are in the wrong language. How do I change it?

Meet recognises one language at a time, and there is no translation. Press “Change” next to “Transcribing” at the top of the panel and pick the meeting’s language: new lines use it from the next phrase, and it is remembered. Lines already written do not change. If speech is heard but nothing appears, the panel suggests it: “No captions in … Wrong language?”

I joined in the middle. What gets recorded?

Notes start when the panel starts: when you join in Automatic, when you press the button in Manual, or when you press Resume. What was said before is not included, even if it is still on the screen in Meet.

Can I stop and resume?

Yes. “Stop” pauses the notes and “Resume” continues them. What is said while stopped is not recorded. Resume does not post to the chat a second time. A summary made before Resume covers the meeting up to then: the panel says so, and “Update Summary” makes a new one once enough more was said.

It says “Notes are running in another call”. What does that mean?

There is one recording per browser. Press “Stop” in the other Meet tab first, then take notes here.

What happens if I leave the call or close the tab?

The notes end and the meeting is saved: you will find it in Workspace. If you left the call, the panel stays on “You left the meeting” and opens Notes with Get Summary. If the tab was closed or crashed, the meeting ends where its notes stopped and shows in Workspace as soon as Workspace is open. If notes never started, the panel just goes away.

Workspace

What is Workspace and how do I open it?

Workspace is a tab with everything after the call: Home with your latest meetings and open action items, Meetings with all of them, and Tracker. Click the extension icon on any page but a Meet call, or the Workspace button at the top of the panel; under a summary, “Open in Workspace” goes straight to that meeting. If Workspace is already open, its tab comes forward instead of a new one.

Where did the sidebar go?

It became Workspace, a tab of its own, and all your meetings moved there with their summaries. Click the extension icon on any page but a Meet call to open it. In a call, the icon still shows or hides the panel on the Meet page.

Can I follow the call in Workspace?

Yes. While you are in a call, it is the first row of Meetings and the top of Home: click it to open the call beside the page. The transcript grows there as people speak, and you have Stop and Resume, the language, Catch me up and, after Stop, Get Summary. “Go to call” brings the Meet tab back. Starting notes from Workspace posts the same notice in the Meet chat; if Meet refuses it, “Go to call” opens the panel there to try again.

Is it the same as Google Workspace?

No. Workspace is the extension’s own tab with your meetings and to-dos, kept in your browser. It has nothing to do with Google’s paid plan and does not need one.

What is the Tracker?

The action items and open questions from all your meetings, in two views. Action items are grouped by due date: Overdue, Today, Tomorrow, Later, No due date, Done; filter them by due date, importance and assignee. Open questions run from the newest meeting; filter them by meeting date and importance. Both filter by meeting and series, and search looks through the text, the meeting titles and the names. Done action items and resolved questions are hidden until you turn on “Show completed”; then they are struck through under the rest. Decisions stay in their meeting, on its Tracker tab. Click an item to open it in its meeting. The view lives in the page address, so a reload or a bookmark brings it back.

How do I mark an action item done?

Tick the box next to it, on Home, in Tracker or in the meeting: it is saved at once and shows in every open Workspace tab. Home shows the three open ones to do first, overdue ones on top; in Tracker, “Show completed” brings the done ones back. Decisions and open questions have no tick.

How do I mark what matters most?

Every action item, decision and open question has a flag under its text, Normal at first. Click it to pick Critical, High or Normal, in Workspace or under the summary in the panel. Only you set it, not the AI. Among items due on the same day, the more important ones come first, Tracker can group by importance, and Critical and High show in the exports.

What can I do with an open question?

In Tracker or on a meeting’s Tracker tab, press Resolve next to the question. “Turn into action item” puts its words in a field for you to rewrite as a task, with an assignee and a due date if you want. “Record decision” writes down the answer. “Close question” is for one that no longer needs an answer. The new item goes into the same meeting’s summary and its exports, marked “From Q1”, and the question shows what it became. Undo in the message takes it back; later, Reopen on the question does.

What is a series?

Meetings held on the same Meet link, like a weekly call, are grouped into a series. Each meeting keeps its own title, summary and delete button. “N meetings in this series” on a meeting and the Series filter in Meetings and Tracker show them together.

How do I find an old meeting?

In Meetings, type a word or two you remember into the search. It looks through the titles, summaries and transcripts of all your meetings and shows, under each meeting found, the line where the words were said. Click that line to open the transcript right there. Tracker’s search looks through action items and open questions.

How do I rename a meeting?

Open it, click the pencil next to the title and press Save. A title can be up to 120 characters.

What does New meeting do?

It opens a new Google Meet room in a new tab; in Automatic, notes start as soon as you join. Google Meet, just below it, opens Meet’s start page with your upcoming meetings.

How do I pin the extension icon?

Click the puzzle piece next to Chrome’s address bar, then the pin next to our extension. Until the icon is pinned, Workspace shows “Pin the extension” at the top right, and “Show how” walks you through it. The setup page has the same steps with pictures.

How do I change the theme?

In Workspace, open Settings & help at the bottom of the sidebar and pick light, dark or system. In the call, the theme button at the top of the panel has the same choice. System follows your device. Colored names, in Settings under the theme and in the panel’s settings, gives each person their own color; turn it off to show every name in one color.

Summary and Catch me up

What is Catch me up?

While notes are running, “Catch me up” on the Notes tab, or on Overview of the call in Workspace, sums up the last 5 minutes in a sentence and a few points. The card is not saved: close the panel and it is gone. If nobody spoke in those 5 minutes, nothing is sent.

What do I get in a Summary?

After you press Stop or the call ends, “Get Summary” gives a short summary, Decisions, Action items (with owner and due date when they were said) and Open questions, each with its quote from the transcript. In Workspace the meeting also shows the topics discussed, with the time each one came up. There is one summary per meeting, kept with it. If you resume the notes after it and keep talking, “Update Summary” makes a new one of the whole meeting in its place; it uses one of today’s summaries, and marks on the old items start over, and so do the items made of its questions.

Why is Get Summary greyed out?

Notes are still running (a summary is made after Stop or the end of the call), too little was said (it needs about a minute of conversation), or today’s summaries are used up. Hover the button: it says which, and when the summaries come back. The transcript stays either way.

What are the daily limits?

5 summaries and 30 Catch me up a day, per browser, at no charge; they start over every day. The transcript itself has no limit, and a request that fails does not count. The summaries left are the number next to the sparkle, in the panel’s bottom strip and at the bottom of Workspace’s sidebar.

Can I trust what the AI writes?

Check it before you pass it on. Every point shows its quote from the transcript, an owner is set only when it was said in the call, and points found only on a second read are marked “Possibly”.

What does “Possibly” mean?

The item was found only on a second read of the transcript, so check its quote. It has a dashed outline in the panel and a dashed circle with “Possible item” in Workspace. “Keep” makes it a regular item, “Remove” deletes it. Your choice is saved with the summary, and removed items are not copied or exported.

What does “Quote not found in the transcript” mean?

Every quote is checked against the transcript. When one cannot be found, the item stays but is marked, and Copy writes “(quote not found)”. Treat such an item as a lead and check it yourself.

“This meeting is too long for a summary”. What can I do?

A summary works for conversations up to about three hours. The transcript is still there: copy it from the Transcript tab. Next time, Catch me up during the call covers the last 5 minutes.

Export

How do I send the minutes to the team?

Open the meeting in Workspace and press Export: Copy to clipboard, Word (.docx), Text (.txt) or Markdown (.md). Each one has the whole minutes, whatever tab is open. To paste into an email, use Copy: it keeps the formatting. In the call, the same buttons sit above the summary.

What is in the Word file?

Meeting minutes you can edit before sending: the title, the date with start and end time, participants, a summary, topics discussed, decisions, a table of action items with owner and due date, open questions and the whole transcript. It opens in Word, Google Docs and LibreOffice, and from there you can save it as PDF.

How do I copy just the transcript?

Open the meeting’s Transcript tab in Workspace and press “Copy transcript”. With a speaker filter or a search, it copies only the lines shown. In the call, “Copy” on the Transcript tab copies it all.

People in your call

Do other people see that I’m taking notes?

Only if the chat is told. In Manual, “Take meeting notes” posts a notice in the Meet chat. In Automatic nothing is posted until you press “Notify chat”. The panel and your notes are visible only to you.

Do I need to tell the participants?

Yes. The transcript holds other people’s words, and in many places the law asks you to tell them, and sometimes to get their consent. “Notify chat” does the telling for you. See the Terms.

Does the host have to let it in?

No. Nothing joins the call: the extension works in your own browser tab, so there is no guest to admit and the host has nothing to do.

Does it record audio or video?

It does not save audio or video recordings. Notes come from Meet’s captions. While taking notes, it saves a still image of the visible meeting and the participants’ names, with profile pictures when available, for the meeting’s card in Workspace. These stay in your browser and are not sent to AI services. Nothing joins your call.

Who is listed in Participants?

Everyone the extension saw in the call, including those who stayed silent or left early. Someone who left before notes started may be missing. Older meetings without a list show the speakers from the transcript.

Privacy and data

Where are my meetings stored, and for how long?

In this browser only, with their summaries, participant lists and meeting images, until you delete them or clear the extension’s data. There is no limit on the number of meetings. Meeting images and profile pictures are not sent to AI services.

What leaves my computer?

Meeting text leaves only on Catch me up (the last 5 minutes of lines) and Get Summary (the transcript, the meeting title and your time zone, to work out due dates). It goes to our server in the US and on to an AI model. Our server does not keep it, and we ask the provider not to keep it or train on it. Separately, a random install number goes along to count the limits, also when the extension checks how many are left, and a rating or comment goes when you send one, without the meeting’s text. See the Privacy Policy.

How do I back up my meetings?

In Workspace, open Settings & help → Settings → Saved meetings. “Download all meetings” saves one .zip with every finished meeting: minutes you can read, plus what it takes to bring them back. “Import meetings” reads that file, in this browser or another one. The file stays on your computer and is not sent to us.

Can I see my meetings on another computer?

Not by themselves: meetings are kept in the browser where they were taken, and there is no account to carry them over. To move them, download a backup and import it on the other computer: see “How do I back up my meetings?”

How do I delete my data?

One meeting: in Workspace, the bin in its row in Meetings or at the top of the open meeting. All meetings: Settings & help → Settings → “Delete saved meetings”. A summary goes with its meeting, and its items leave the Tracker. Removing the extension removes everything it keeps in your browser, so download a backup first if you want to keep your meetings.
